Return and Cancellation Policy
We aim for complete satisfaction with every OLMO purchase. If a return is needed, please review the full policy and process below. Cosmetic damages are not covered and are not justifiable for return.
Order Cancellation Policy
Orders canceled after processing but before shipment incur a 4%–6.5% cancellation fee to cover non-refundable processing, warehouse handling, and administrative costs. Processing begins immediately upon order placement. After shipment, cancellations follow the full return policy.
Restocking Fees
Unopened / Unused / Refused / Undeliverable
- 10% restocking fee when product and packaging are in 100% new condition.
- Customer errors (address, missed appointments, unjustified refusals) follow this policy and fees.
- Significant carrier-caused damage may negate fees upon review.
- After the product leaves our warehouse, customer pays shipping both ways plus any restocking fee.
Opened or Deformed Packaging
- Must be in resalable condition. A 20%–50% fee applies based on condition.
- We determine refund amount (if any) when items show wear (scratches, marks, bent/cut wires, etc.). If declined, customer may pay freight to receive the item back.
- Merchandise must not be installed or used and must be free of damages and defects.
Used or Installed Products
Used and/or installed products are not eligible for return.
Incorrect Multi-Zone Combinations
Custom combinations that do not follow manufacturer pairing charts may be ineligible after 30 days from delivery. Customers are responsible for all return fees and shipping both ways; refusals still incur shipping and restocking fees.
Preparing Shipment
Packaging
- Use original packaging with manuals, accessories, and inserts.
- No writing or labels on original boxes.
Packing
- Pack exactly as shipped. If a pallet was used, use the same or similar.
- Keep cartons upright, strap to pallet, and wrap in stretch film; apply return labels on the film.
Shipping
Fees
- Customer pays all return freight.
- “Free Shipping” orders will be charged original outbound shipping plus return freight (deducted from refund).
- If our error, we ship the correct item and cover return freight.
- Notify us within 30 days of delivery for eligibility.
Process
- We may provide prepaid bills of lading at our negotiated rates, or you may use your own carrier.
- Print two copies, have both signed at pickup, keep one, and send us the tracking details.
Shipping Damage
- For minor damage, note on the delivery receipt and request a claim form. Minor cosmetic flaws are not covered by this policy.
- Unnoted damage requires the customer to file a carrier claim.
- For major damage, refuse delivery and contact 737-738-6329 or sales@southminisplits.com.
Inspection and Refunds
Returns are inspected upon receipt to confirm perfect resalable condition. Please allow up to 10 business days after receipt for credits to apply. Refunds are based on condition and issued to the original payment method. We accept returns for unused OLMO products purchased directly from SouthMiniSplits.com only; items used, modified, installed, or missing parts are not eligible.
Stolen Shipments
We are not responsible for stolen shipments. Customers are responsible for ensuring safe delivery at their address, requesting signature service when needed, and coordinating delivery instructions with the carrier.
Return Process
Authorization
To receive return authorization, complete the return form (below) before sending items. This step may be waived only when a shipment is refused due to major damage. Our team will follow up after submission. You may also call (737)-738-6329 or email sales@southminisplits.com.
Open Box Return Policy
Open Box units are fully functional products with minor aesthetic imperfections to packaging or cosmetics. They are inspected, tested, and verified to be in working condition.
Eligibility
- Contact us within 7 days of delivery to request a return.
- Unit must be unused and returned in the same condition received.
- All accessories, parts, manuals, and original packaging are required.
Not Eligible
- Unit has been installed or used.
- Accessories, mounting kits, or components are missing.
- Damage due to incorrect handling or installation.
- Return requested after 7 days of delivery.
Return Shipping & Refunds
- Customer pays return shipping unless the item arrived defective or was completely destroyed in transit.
- Aesthetic imperfections are expected with Open Box items and are not grounds for free return shipping or rejection.
- After inspection, refunds are issued minus a 20% restocking fee. Additional deductions may apply for damage during return transit due to poor packaging.
